We are currently seeking a Administrative/Receptionist support specialist to join our Team.

Position summary:

Primarily responsible for answering all incoming calls and assisting all teams with document processing, ordering supplies, responsible for all incoming and outgoing mail, scanning, faxing, electronic filing of all documents, and maintaining the TDS Telephone receptionist program.

Position responsibilities:
  • Answers and directs all incoming calls using the TDS phone system and pre-established protocols for the different types of calls
  • Maintains TDS phone system and office closure schedules
  • Maintain TDS phone lists current with new staffing changes
  • Greet and assist visitors daily
  • Manage conference room schedule for meetings
  • Fax, copy, scan and electronically file documents throughout the day for various teams
  • Deliver and pick up the mail at the US Post Office and the PO Box at 10 am daily
  • Drop off outgoing mail at the end of each day at the US Post Office
  • Processes mail received daily according to established procedures. Example: scan and electronically file brokerage statements, scan and email QDRO or Distribution documents.
  • Prepare and mail various documents and packages following established procedures (Certified mail, FedEx, FedEx Ground, and USPS)
  • Check distribution mailing folder on a daily basis, print and mail outgoing distribution packages
  • Follow check received procedure and deliver to the accounting team before 12 noon daily
  • Order supplies for main office and remote employees, as requested
  • Pull the monthly survey results and deliver to the leadership team
  • Monitor the supply of marketing folders and prepare and restock as needed
  • Monitor the supply of mailing labels and create new ones as needed
  • Any other task or projects as requested by the Executive Team
