Job Description
Join a growing and dynamic team with Digital Learning at the University of Tennessee, Knoxville. This position reports to the Assistant Dean of Finance and Administration and supports the six Digital Learning senior leaders as the teams they enable their teams to facilitate the creation of new online programs and maintenance of existing online programs thereby reducing barriers to higher education. The individual in this role will serve as a representative of the senior leadership team and Digital Learning and, as such, must be professional, responsible, dependable, organized, flexible, personable and attentive to detail with the ability to thrive in a fast-paced environment.
Responsibilities
Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments for the Digital Learning Senior Leadership Team
- Prepare correspondence, reports, agendas, meeting minutes, briefings and presentation materials
- Serve as a liaison between the Senior Leadership Team and internal/external stakeholders, including faculty, staff, students and university administrators
- Prioritize, disseminate and respond to incoming emails, phone calls, oral and written communication
- Manage senior leadership team events and attend weekly meetings
- Communicates and collaborates with the Provost's Office, Chancellor's Office and Deans' Offices, college executive teams and their staff
- Proactively handle and/or escalate small issues before the small issues become bigger issues
- Remind the senior leadership team of upcoming deadlines, and anticipate and prepare deliverables in advance
- Develop streamlined systems to manage workflows, communications and documentation so nothing falls through the cracks
Event Coordination
- Organize department events, meetings and conferences
- Coordinate logistics such as venue reservations, catering, travel arrangements and technology setup
Operational & Office Management
- Monitor and maintain office supplies and equipment
- Assist with departmental communications such as newsletters
- Maintain and organize departments files and records in compliance with university records
QualificationsRequired Qualifications - Education: Bachelor's degree
- Experience
- Three or more years of experience supporting senior-level personnel, preferably in a higher education setting
- Strong organizational, time management and problem-solving skills
- Excellent verbal and written communication abilities
- High degree of discretion and professionalism in handling sensitive and confidential information
- Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment visa status.
