Accounting Assistant

Description:

SUMMARY: To help ensure the overall functioning of the department on a daily basis. This pertains to assisting employees from other departments with change for their bank bags, daily reports being emailed on a timely basis to management, helping as needed with month end tasks to ensure we meet our deadlines, and working on special projects that come up from time to time.

ESSENTIAL DUTIES AND RESPONSIBILITIES: This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

  • Process daily deposits.
  • Give out change at the cash window.
  • Issue petty cash refunds.
  • Dispense payroll checks to department directors or managers on payday Thursdays.
  • Process accounts payable invoices for the weekly check run on Thursday.
  • Complete daily the flash report and daily reports to be emailed out to management.
  • Complete the daily journals and upload them to Dynamics (Accounting software).
  • Work on bank statements on a weekly basis so they are up to date at the end of the month.
  • Audit the vault daily.
  • Keep daily drop bags neatly together by day in storage boxes.
  • Make daily journal entries for miscellaneous bank transactions.
  • Record maintenance logs on spreadsheets weekly.
  • Assist with month end closing tasks as needed.
EDUCATION and/or EXPERIENCE: Level 3

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS: Level 2

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS: Level 1

Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

REASONING ABILITY: Level 2

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS:
  • Valid Tennessee Driver's License or ability to obtain one within 30 days of employment
  • Ability to be covered by and maintain company insurance
QUALIFICATIONS:
  • Requires good negotiation and listening skills.
  • Ability to act independently with little supervision.
  • Efficiently handle multiple duties.
  • Requires the ability to operate various office equipment to include a computer, word processing, spreadsheets, voice mail, copier, fax, calculator.
  • Requires a good understanding of company policies and procedures.
  • Ability to handle stressful situations
  • Good attendance and punctual.
  • Exhibits professionalism.
  • Exhibits good grooming habits.
  • Works efficiently.
  • Follows all resort and office policies and standard operating procedures.

    • Frequently lift up to 10 pounds.

WORK ENVIRONMENT:
  • Occasionally exposed to wet or humid conditions and extreme heat (non-weather), fumes or airborne particles, outdoor weather conditions, and at risk of electrical shock
