Processing Assistant

Join our team in a newly created role designed to keep our loan pipeline moving efficiently and accurately! We're looking for someone who enjoys owning the loan setup phase once a borrower goes under contract and likes working behind the scenes to make everything run smoothly. In this role, you'll partner closely with Loan Officers and Processors to organize files, issue disclosures, order third-party items, and review documentation for accuracy and compliance before the file moves to processing. You'll be involved with a high volume of files for short periods, collaborate heavily with internal teams, and play a key role in creating a clean, well-prepared handoff to closing. Essential duties and responsibilities:

  • Responsible for loan setup, disclosures and all order outs.
  • Organize new file within 24 hours of receipt and verify that compliance documents were issued within proper time frame
  • Order any third party verifications needed; including, but not limited to, VOEs, VODs, Payoffs, Updated Homeowners Insurance, Subordination Agreements and Tax Transcripts.
  • Track all requested documents in Encompass.
  • Review documentation within 24 hours of receipt for discrepancies, omitted data, etc.
  • Immediately notify Loan Processor when any discrepancies are found in documentation. Loan Processor will be responsible for determining and acting on the necessary remedies.
  • Order Title Commitments and necessary endorsements
  • Assist the Loan Processors with obtaining post-closing conditions
  • Assist other Processors, Underwriters, and Closing department employees as needed.
  • Maintain strict confidentiality regarding customer accounts and other information.

Additional duties:

  • Completes any additional duties assigned by manager, supervisor or lead.
  • Maintains a focus on enhancing customer service skills and knowledge.
  • Complete regulatory and compliance training, as required.
  • Keep abreast of current state's mortgage lending laws.

Education and/or experience: High school diploma or general education degree (GED) along with 1+ year of loan processing and/or Real Estate finance experience. Computer skills: Previous experience on a mortgage loan processing system, preferably Encompass, proficient with Microsoft Office products and the ability to accurately input data.
