Job Description:

CDM Smith is on the lookout for a proactive Senior Administrative Coordinator to effectively manage our daily office operations. This full-time position, based in our Knoxville, TN office, is crucial for supporting the team with a variety of administrative tasks, ensuring seamless workflows, and contributing significantly to the success of our projects.

Key Responsibilities:

  • Oversee office activities for optimal efficiency, including staff support, organization of supplies, maintenance of office equipment, and new hire onboarding assistance.
  • Execute thorough quality control reviews of project documents to ensure adherence to formatting standards and style guidelines.
  • Provide exceptional production support for client deliverables, ensuring outstanding service to both internal and external clients.
  • Assist in the preparation of reports and communications, including monthly project reports, meeting minutes, and the organization of meetings and events.
  • Deliver exemplary support to technical teams, office leadership, clients, vendors, and colleagues.
  • Maintain organized records, files, and correspondence, and aid in scheduling activities for meetings and events.
  • Draft complex and confidential correspondence and technical reports for management review.
  • Perform additional administrative tasks as required.

Minimum Qualifications:

  • High School diploma or equivalent.
  • 4 years of relevant experience.
  • Willingness to travel domestically and/or internationally as necessary for job responsibilities.
  • Equivalent additional related experience may be accepted in lieu of a degree.

Preferred Qualifications:

  • Experience in the engineering and consulting sector, particularly within mid to large-sized corporate office management.
  • Proficiency in Adobe Pro or Bluebeam is highly desirable.
  • Basic knowledge of PowerPoint.
  • A client-focused approach with the ability to support employees at all levels.
  • Outstanding organizational and communication skills.
  • Ability to manage multiple tasks effectively while maintaining quality under tight deadlines.
  • Notary certification is a plus.
