Licensing Coordinator I

Are you a detail-driven problem solver who thrives in a fast-paced, collaborative environment? We're looking for a motivated Licensing Coordinator I to join our compliance team — supporting the regulatory integrity of 800+ travel centers across approximately 47 U.S. states and Canada, with more than 10,000 licenses renewed each year.

What You'll Do

  • Research, monitor, and update state and local licensing requirements for retail locations and company business activities (alcohol, tobacco, health & food, sales tax, and more).
  • Assist with receiving, documenting, and tracking store-level license renewals, citations, and regulatory correspondence — escalating issues immediately to the licensing manager.
  • Analyze data, workflows, and reports to support department operations; develop and maintain licensing SOPs and process documentation.
  • Prepare and manage correspondence, renewal applications, and compliance materials for submission to local, state, federal, and Canadian regulatory agencies.
  • Collaborate with internal stakeholders (operations, legal, finance, executive leadership) and external partners (regulatory agencies, consultants, store personnel) to support project timelines and resolve challenges.
  • Safeguard executive and sensitive personally identifiable information (PII) in accordance with company confidentiality standards.
  • Support planning and execution of departmental initiatives, audits, training programs, and compliance campaigns.

What We're Looking For

Education & Experience

  • Associate's degree or 2+ years of equivalent experience in accounting, compliance, legal, tax, real estate, or a related field. Bachelor's degree a plus.
  • Background in accounting, tax compliance, real estate, legal/paralegal, or title company work is strongly preferred.

Technical Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Avalara License Management (ALM), Salesforce, FSM, or similar compliance or financial platforms is a plus.
  • Experience with multi-jurisdiction and/or Canadian tax and licensing requirements is a plus.

Skills & Competencies

  • Strong analytical and critical thinking skills, including tax and fee structure knowledge (flat fees, gross receipt calculations).
  • Excellent verbal and written communication skills; ability to tailor messaging across audiences from store-level teams to executive leadership and regulatory bodies.
  • Highly organized, detail-oriented, and methodical with strong time management abilities.
  • Ability to manage multiple priorities, meet strict deadlines, pivot quickly, and work both independently and within a team.
  • Demonstrated sense of urgency and accountability for work product output.
  • Commitment to confidentiality when handling executive PII and sensitive company information.
