We're looking for a highly organized, proactive, and polished Administrative Office Manager to serve as a trusted partner to our Executive Team while helping oversee the day-to-day operations of our corporate office.

This position is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, loves creating professional documents and presentations, and takes pride in keeping executives and business operations running smoothly.

What You'll Do

Executive Support

  • Provide high-level administrative support to the Executive Team.
  • Manage complex executive calendars, meetings, travel, and scheduling priorities.
  • Prepare executive reports, presentations, correspondence, and meeting materials.
  • Coordinate leadership meetings, agendas, meeting minutes, and follow-up action items.
  • Support strategic projects and company initiatives.
Document Production & Microsoft Office
  • Create executive-quality documents using Microsoft Word, Excel, and PowerPoint.
  • Build and maintain Excel trackers, reports, dashboards, and spreadsheets.
  • Design professional presentations for leadership meetings and company events.
  • Develop standardized templates, forms, and business documents.
  • Utilize AI-powered productivity tools to improve efficiency and document quality.
Corporate Office Operations
  • Help oversee daily corporate office operations.
  • Coordinate office supplies, purchasing, vendors, and administrative processes.
  • Maintain contracts, business records, and operational documentation.
  • Support invoice processing and budget tracking.
  • Continuously identify opportunities to improve office efficiency.
Facilities & Lease Administration
  • Coordinate office maintenance, vendor scheduling, service agreements, and workplace improvements.
  • Maintain lease tracking records, renewal dates, rent escalations, and property documentation.
  • Partner with Operations, Accounting, landlords, and vendors to support Bluemont's growing property portfolio.
  • Track important deadlines and ensure lease obligations are communicated proactively.
Travel, Meetings & Events
  • Coordinate executive travel, leadership meetings, conferences, and company events.
  • Assist with planning and executing market meetings, retreats, training sessions, and corporate functions.
  • Manage event logistics including venues, catering, travel, accommodations, and communications.
What We're Looking For

Required Qualifications
  • 3+ years of experience in Executive Administration, Executive Assistant, Office Management, or a similar administrative leadership role.
  • Advanced proficiency in Microsoft 365, including:
    • Outlook
    • Excel (formulas, trackers, reporting)
    • Word
    • PowerPoint
    • Teams
  • Strong organizational, project management, and communication skills.
  • Experience supporting senior executives in a fast-paced environment.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
  • High level of professionalism, discretion, and confidentiality.
  • Experience coordinating travel, meetings, and corporate events.
Preferred Qualifications
  • Experience with commercial lease administration, property tracking, or facilities coordination.
  • Experience managing vendors, contracts, and procurement.
  • Notary Public certification (or willingness to obtain).
  • Experience with document management systems, CRM platforms, and AI-powered productivity tools.
