Hodges, Doughty & Carson, PLLC seeks a Firm Administrator / Office Manager to guide and oversee the firm's business operations, including human resources, IT, facilities, and marketing. Firm Administrator / Office Manager will supervise the firm's non-attorney staff and serve as a liaison between the staff and the Members. The position reports to the firm's Members and participates in additional management committees in specific functional areas. Strong interpersonal and communication skills are required. Day-to-day administrative and management responsibilities include collaborating with Managing Partner to identify and deliver needed administrative support operations, including: Human Resources Manage, recruit, hire, and train all non-attorney staff; Ensure optimal staffing to balance coverage needs and efficiency; Maintain, communicate, and enforce office policies and procedures; Oversee benefits administration including retirement plan and insurance benefits; Ensure compliance with applicable HR laws, regulations, and requirements. Finance Works closely with the accounting staff and/or consultants to develop and maintain efficient processes and procedures to maximize firm profitability; Assist with preparation of and management of office budgets/forecasts related to operating expenses, capital expenditures, projects, and compensation. Information Technology Works closely with the IT vendor to evaluate and enhance existing and future computer and telecommunications hardware and software systems needed for legal technology, business operations, cybersecurity, and data privacy; Maintain directory of available software programs for ease of use and reference by firm. General Administration and Facilities Management Oversee quotes and renewal of firm insurance policies; Manage facilities, including space/planning/design, vendor contracts and relations with landlord; Support attorney recruiting; Supervise and/or coordinate event planning to support firm operations and morale, marketing and recruiting; Education and Experience Bachelor's degree preferred; 5 years of experience in administration or office management, including 5 years in a supervisory capacity; Law firm or professional services experience a plus. Required Skills Current knowledge of laws, regulations and best practices in insurance, employment law, human resources and talent management; Ability to contribute to financial management and reporting; Expertise with Microsoft Office suite (Word, Excel and Outlook); Familiarity with Juris and Zoom (and other online meeting platforms) helpful but not required; Demonstrated strengths in verbal and written communications, conflict resolution, organization, problem-solving, supervision, confidentiality, and leadership; Bookkeeping and accounting experience preferred.
